Sales in the Optical Store
Order Records Retail Sales
Sales records in the TISS Optic program operate on an order based system. An order is everything the optical store provides to the client eye examinations sales of glasses sales of supplementary products all of this is considered an order. An order can be anonymous for example the sale of a case or solution where the identity of the client is not relevant. However in most cases an order is linked to a client. The order records complete information about the sale products client identification production data and any optometrist findings. Sales can be directly connected to an electronic cash register or terminal. However an order does not have to be finalized by payment or invoice for example when a client completes an order but comes to pay later.
The system supports combined payments meaning the client can pay part of a deposit by card part by vouchers and part in cash. The combination of different payment methods is then reflected on the printed receipt.
Filtering and Searching Orders
Orders in sales can be filtered based on many parameters by seller client order creation date order value date range branch where the order was made stock issuance uncollected orders and more.
The point of these options is to provide immediate results for the operator. Therefore TISS Optic also supports searching by barcodes client name personal identification number purchased product and more.
Exports to XLS or accounting delivery services
TISS Optic allows multiple types of data exports not only to XLS files but also to selected accounting programs. This simplifies the work of accountants who can automatically receive electronic documents directly into their accounting software. If the optical store ships products cash on delivery or by post TISS Optic also supports communication for entering shipments directly into selected delivery company systems.
Complaint Records
This module is used for complaint records. The operator fills out a complaint protocol which the system prints three times one for the client one for the optical store and one to send with the damaged product. After logging into the system there is a prominent notice about unresolved complaints so the operator always has them in sight and none are forgotten.
Client Patient Card
Each client patient has their own card in the system with identification data. All their previous purchases orders with work cards order sheets and refraction cards if recorded are linked to the card. The client’s card records all sales not only of prescription glasses but also eye exams supplementary products sunglasses and more.
Database categorization by different client attributes
The client database can be categorized according to the needs of each optical store. Each optical store has its own patient categorization policy. TISS Optic allows grouping clients into categories chosen by the optical store. Categorization is particularly useful for sales statistics or sales support. Common categories include VIP client Child Patients of Dr XYZ and others which help prepare special promotions for selected clients. Many optical stores also categorize clients by occupation to better target marketing for example professional drivers programmers and so on.
Entering historical values or creating a copy of an original order
When registering a patient it is possible to enter values from an older order into the system. Any values from previous exams can be transferred to the current work card for glasses production. The system does not change the original values but only transfers them into the new order the operator can adjust them as needed. TISS Optic also offers extended basic work and refraction cards depending on whether they are required.
TISS Optic can also make an identical copy of an original order in case the client lost or damaged their glasses and wants an exact replacement.
Use of barcodes
Barcodes for fast handling of stock items orders and purchases are supported throughout the TISS Optic system. The system offers several ways to create these codes from individual generation to adopting existing codes for example on solutions or supplementary goods. For instance product inventory labeled with barcodes can be completed by staff in just a few minutes.
Elizabeth mode for technically less proficient users
Elizabeth is a special mode for optical store employees who are not comfortable with computers and new systems and are literally afraid of them. Employees with Elizabeth mode active only see the list of orders can create a new order and view the daily sales summary. Nothing more. This prevents them from feeling overwhelmed or seeing too many buttons in the program.
Glasses repair form
In the case of glasses repairs it is possible to print a repair form from the system. The form contains a picture of the frame where the damaged area is marked and notes can be added.
